Work an obligation: board, checklists, evidence, owners

Drive obligations from the Kanban workbench or a system tab: change status, work the four-eyes flow, fill auto-saving smart forms, tick checklist items with notes and evidence.

Once a system is classified, the engine generates the exact set of duties that apply to that system, given its risk tier, your role, its domain and its behavioural flags. You never pick obligations from a menu — the engine derives them, so nothing relevant is missed and nothing irrelevant clutters the view.

Where obligations live

Every obligation shows up in two places, and they stay in sync:

  1. On the system — open a system and work its tabs. Each tab is an obligation area (Overview, Risk, Documentation, Supply chain, …). A tab only appears if the system actually has obligations under it.
  2. Across the portfolio — the Obligations workbench flattens every obligation on every system into one operational surface.

The Obligations workbench (Kanban)

The Obligations page is your day-to-day cockpit:

  1. Choose a layout with the Table / Board toggle, top-right. Table is the dense, sortable list; Board is the Kanban — four columns: To do → In progress → In review → Complete.
  2. On the Board, drag a card into another column to change its status. Veritome saves the move immediately and re-scores the system in the background.
  3. Narrow the view with the tools above the list: filter pills (All · Overdue · Due this week · In progress · In review · Complete), sort (Journey phase · Priority · Deadline · Article), search, a My tasks toggle, and System / Phase filters.
  4. Click any row or card to open the obligation drawer and do the actual work.

Four-eyes on high-risk. If you mark a high-risk obligation complete but you don't hold an approver role (Admin or Compliance Manager), Veritome routes it to In review instead of Complete, and notifies an approver. This keeps a segregation-of-duties trail on the work that matters most.

Inside an obligation

The drawer has three tabs: Form, Evidence, and History.

  1. Set the owner and the due date — both save the moment you pick them.
  2. Work the Form tab — the smart form and checklist.
  3. Use the Evidence tab to see and add proof attached to the obligation.
  4. The History tab is the audit trail: who changed the status, when evidence was added, and every edit.

Smart forms and auto-save

Where an obligation expects structured answers, the Form tab renders a smart form: exactly the fields the Act asks for, with the article reference inline and Aria on hand to draft a first pass. Fill in the fields — answers auto-save about 1.5 seconds after you stop typing, so there's no Save button to hunt for. Every save quietly recomputes the system's compliance score.

Checklists and per-item evidence

Below the form, you work through the obligation's checklist items — each a concrete step, often with its own sub-article reference. For each item you can tick it complete (saved instantly), add notes, and attach evidence — a policy PDF, a test report, a signed screenshot — directly to that item. Evidence is what turns a claim ("we have human oversight") into something an auditor can verify. Obligations marked not applicable are excluded from totals and the score.
