The Academy: your AI literacy record, and when it lapses

Article 4 asks organisations to ensure a sufficient level of AI literacy among the people who work with their AI systems. It is not a training course you buy once. It is a standing duty, in force since 2 February 2025, and it applies to the person answering the phone as much as to the person building the model.

Six questions

The Academy (under Prove it) opens with a short needs assessment — six questions about what you actually do at work. Do you operate an AI system? Review its decisions? Handle personal data it uses? Take governance decisions about adopting it?

Answer them honestly rather than generously. The point is not to collect programmes; it is to record what your role genuinely involves, because that record is the evidence behind your organisation's Article 4 position.

Your answers are filed against your account with the date you gave them. They are not a form you fill in for somebody else, and nobody fills one in for you.

What happens next

Your answers decide which programmes you are enrolled in, automatically. Everyone gets the baseline — Article 4 binds the whole organisation, so answering "no" to all six does not exempt you from it — and each "yes" adds the programmes that competency needs. Work through them in the training player; your record lists what is assigned, complete, and due.

Twelve months, then it lapses

A completed record is valid for twelve months from the date you finish. A fortnight before it runs out you are told, by email and in the app; if it lapses you are told again.

The clock runs from the earliest of your completions, not the latest. If you finished one programme eleven months ago and another last week, you are due for renewal now — the oldest one is what a regulator would look at.

Who sees what

You see your own record, here and under Organisation → AI literacy. Nobody else in your organisation sees your answers.

Org admins and compliance managers see a Team tab — who is current, who is expiring, who has never started — because someone has to be able to answer that question for the organisation. They see the standing, not the answers.

What this is not

Completing a programme is not a certification, and it is not a legal opinion that your organisation satisfies Article 4. It is a dated record that the training happened and who did it. What the training covers, and whether it is sufficient for your particular use of AI, remains your organisation's judgement.
